Email and Letters -  creation and approval process

Overview

An overview of the process is as follows:-

 

 

Email - Send Email button replaced with Create Email for Review button. Email will be sent to Case Supervisor for review and approval

 

 

Pending Review Added to History, double click to open and edit whilst waiting to be approved

 

New Menu option to approved outgoing mail, display all outgoing correspondence awaiting a supervisors review

This option only available to Supervisors.

 

 

 

Approve Pending Letter and Emails

Shows all correspondence awaiting your review, you can view others by selecting a different supervisor from dropdown list

Shift and Double Click to Open Case in cManager

Double Click to open up email or letter for editing and onward processing.

For emails:-

The supervisor now has the option edit and send the email. 

The Original pending review file history note is updated to record who's been approved by

 

For Letters

1. Generate Letter as normal, but should not be printed 

Case History indicates letter pending review by supervisor

 

On the Approval screen,

If double-clicked, otherwise approval is assumed and case history updated. The letter should be printed and sent to the recipient

If the SendApprovedLettersForProcessing setting is active, then the letter remains in the Pending Review folder awaiting printing, but the Case History is updated to indicate that it's been approved

If the SendApprovedLettersForProcessing setting is not active, approval is assumed and case history updated. The letter should be printed and sent to the recipient

 

 

Process (and Print) Approved Letters

Shows all letters that have been approved and waiting to be printed 

 

Shift and Double Click to Open Case in cManager

Double Click to open up the letter for printing and mailing to the recipient . The case history updated to reflect that it's no longer pending

 

User Setup

Each User can be setup to pend the letters and emails they generate by ticking the "Pend Letters And Emails" checkbox for their user record in Tools -> Users

 

Parameter Setup

1. new Parameter SendApprovedLettersForProcessing to indicate if  approved letters should go into a queue for printing by another person or if they'll be approved and printed by the supervisor

The Process Approved Mail option only displayed if this option is active (SendApprovedLettersForProcessing Set to True)
