Staff Database

You can use Insight to manage your Staff / Employee details.

The Staff Details form is shown below

1. Details Tab

1.1. Search Area

Use this to find a member of staff by any part of the name or address. The search results are also filtered by the Status Drop down.

1.2. Personal Information

Name, Address and other basic information about the member of is available here. 

Some key fields to note are

    - ID. This is automatically generated by the system and uniquely identifies this member of staff

    - ID2 - You can use this field to store the Alternative ID for this member of Staff. This might be useful if you are moving from an existing system which has a different ID for this member of Staff. No unique checking of this field is done, so please allocated carefully.

    - Status - You can set to Active for current Staff Members or Archived for Ex-Employees.

1.3. Other Details 

Key fields to note are

    - Holiday Entitlement- This is the annual holiday allowance for this holiday year.  If an employee joins part way through the year, this should be prorated as per your holiday scheme. Eg If any employee joins with only 5 months of the holiday year remaining, their holiday entitlement would be 5/12th of the full year allowance.

The Holiday year is defined in the System Parameters , Code 9000 record.

eg. The following examples shows the holiday year starting 1st April

    - Department - You can use this field to record which department an employee works in. The departments are defined in teh Systems Parameters, Code 24 records 

  

1.4. Contact Details

Record the home, work and mobile phones numbers here.

You can also log the primary personal email address for the employee. If you want to send an email, click the Email button to open the Send Email form. The Email details will be automatically saved in the Client Folder for future reference

1.5. Notes

Use this area to records any miscellaneous notes on this employee.

 

1.6. Additional Details

Use this area to view and record detailed information on this employee, such as PAYE Details, Next of Kin and Holidays

1.6.1    Tasks

The details entered here are used on the Holiday Planner. This shows all the booked absences on a monthly calendar allowing you to plan staffing levels.

1.6.2    History

The details entered here are used on the Holiday Planner. This shows all the booked absences on a monthly calendar allowing you to plan staffing levels.

1.6.3    Training Log

The details entered here are used on the Holiday Planner. This shows all the booked absences on a monthly calendar allowing you to plan staffing levels.

1.6.4    PAYE Details

PAYE details currently used for Informational purposes only. Will be used for the Payroll Module in a future release of Insight

1.6.5    Next of Kin Details

Details of multiple Next Of Kins can be stored. Double Click on an existing Next of Kin to open up the Next Of Kin Details form .
